How to send sales invoices from SNDQ to Exact Online
With the Exact Online integration, you can push sales invoices for rent, provisions, and other payment requests directly from SNDQ into Exact Online. This eliminates the need to manually re-enter invoices in your accounting software.
SNDQ creates sales invoice drafts in Exact Online based on the payment requests you manage. Invoices are only pushed when you explicitly select and confirm them — you stay in full control.
What data is sent to Exact Online?

SNDQ does not read, modify, or delete existing data in your Exact Online administration. It only creates new sales invoice drafts and, when necessary, new CRM accounts for payers.
Prerequisites
- An active SNDQ workspace with the Steward role
- An Exact Online account with access to at least one administration (division)
- Sufficient permissions in Exact Online to create sales invoices and CRM accounts
Step 1: Connect your Exact Online account
- In SNDQ, go to Workspace Settings → Integrations.
- Click the Exact Online card.
- In the connection dialog, click Connect to Exact Online.
- You will be redirected to Exact Online to authorize SNDQ.
- Grant SNDQ access to your Exact Online account.
- After authorization, you are automatically redirected back to SNDQ with a confirmation message.
Your connection is now active. The Exact Online card will show a green Connected badge.
TIP
You can disconnect at any time from the same settings page. Your mapping configuration is preserved — if you reconnect later, your settings will still be available.
Step 2: Configure matching settings
Before pushing invoices, configure how SNDQ data maps to your Exact Online administration. Open Workspace Settings → Integrations → Exact Online → Matching Configuration.
Divisions (required)
Map each Exact Online division to the corresponding property owner in SNDQ. This ensures invoices are created in the correct administration.
- Select a division from the dropdown.
- Assign the SNDQ owner who corresponds to that division.
- Repeat for all relevant divisions.
WARNING
You must configure at least one division mapping before you can push invoices. If division mappings are incomplete, the integration card will show an Action required badge.
GL Accounts (recommended)
Map each payment request type to the appropriate revenue account (Class 7) in Exact Online:
- Rent
- Provision
- Flat rate for costs
- Rental damage
- Ask for forward
- Refund
- Others
Mappings are configured per division. If a GL account is not pre-configured, you can still select it manually during the invoice creation step.
VAT Codes (recommended)
Map each VAT rate used in SNDQ (0%, 6%, 21%) to the corresponding VAT code in your Exact Online administration. Mappings are configured per division.
Step 3: Create sales invoices in Exact Online
- Navigate to Financial → Payment Requests (or a specific building or lease view).
- Select one or more payment requests you want to export.
- Click Actions → Create sales invoice → To Exact Online.
- Review the preview:
- Verify the division and journal (daybook).
- Check the GL account and VAT code for each invoice line.
- Defaults are filled from your matching configuration.
- Click Create to push the invoice to Exact Online.
The invoice is created as a draft in your Exact Online administration. You can then review, approve, and process it within Exact Online as usual.
TIP
You can select multiple payment requests at once. They will be grouped into a single sales invoice if they share the same payer, owner, and lease.
After export
- A green Created badge appears next to each exported payment request in the transaction table.
- The transaction detail page shows the linked Exact Online invoice with its creation date.
- Each payment request can only be pushed once — duplicates are blocked automatically.
Disconnecting
To remove the Exact Online connection:
- Go to Workspace Settings → Integrations → Exact Online.
- Click Disconnect.
- Confirm the action.
Your mapping configuration and export history are preserved.
Security and privacy
- SNDQ uses the standard OAuth 2.0 authorization code flow to connect to Exact Online.
- Access tokens are encrypted at rest and refreshed automatically.
- SNDQ only accesses the Exact Online APIs necessary for the integration:
- Sales invoices (create and read status)
- CRM accounts (find or create payers)
- Reference data (divisions, journals, GL accounts, VAT codes)
- No data from Exact Online is stored permanently in SNDQ beyond what is needed for the connection and mapping configuration.

Limitations
- Only sales invoice drafts are created — no automatic approval or payment booking.
- The export is manual — there is no scheduled or automatic sync.
- Purchase invoices, journal entries, and bank transactions are not part of this integration.
- One Exact Online connection per SNDQ workspace.
